Nursing Office Assistant - Full-Time
The Gould Farm Nursing Office Assistant works as a member of a multidisciplinary team that contributes to each guest’s treatment and recovery. Reporting to the Nursing Office Manager, the Nursing Office Assistant performs a variety of healthcare and administrative duties with a focus on medication administration, prescription management, and coordination with healthcare providers and insurance carriers. The Nursing Office Assistant engages in tasks, interventions and education that support guests in using medication as a tool in recovery, as well as skill building around mental and physical wellness strategies. The Nursing Office Assistant contributes to an efficient, effective and safe operation in compliance with Massachusetts Department of Public Health MAP certification. Must be willing to promote the values and spirit of Gould Farm, to actively participate as a member of the community and to continuously seek ways to improve, both self and function.
Primary Responsibilities include but are not limited to:
- Dispense medication per MAP (Medication Administration Program) certification requirements;
- Maintain a secure and organized medication inventory, ensuring timely reorders and restocking of prescriptions;
- Track and manage prescriptions, including requesting refills, monitoring medication expiration dates, and coordinating new medication orders;
- Serve as a direct liaison with physicians, psychiatrists, pharmacies, and clinical staff regarding medication orders, changes, and administration concerns;
- Contact insurance providers to verify prescription coverage, obtain prior authorizations, resolve claims issues, and help guests understand their insurance benefits;
- Coordinate and schedule medical, dental, and wellness appointments with outside providers, including transportation logistics when needed;
- Maintain accurate, up-to-date records in electronic health systems, including medication logs, progress notes, and reports related to guest wellness and medication adherence;
- Perform a range of administrative tasks including answering phones, data entry, faxing, filing, and communicating with pharmacies and insurance companies;
- Provide basic medication and wellness education to guests to support adherence and self-advocacy;
- Assist in the management of the medication delivery process from local and mail-order pharmacies, ensuring proper storage and administration preparation.
- Track and document important indicators like weight, and blood pressure, as well as support goals around exercise and nutrition.
- As regular daily points of contact, Nursing Office staff provide coaching and encouragement to help guests work toward their health and wellness goals, while collaborating with work leaders and clinical staff to support each guest’s full engagement in the program.
Triage and Crisis Intervention
- Triage and problem solve with guests around matters that impact program attendance and engagement, including providing coaching /support of skills in emotion regulation;
- Provision of basic first aid;
- Assist the Clinical team and Residential team, as well as Doctors to support crisis intervention;
Qualifications: Experience in mental health and healthcare is preferred. Securing MAP certification is a requirement of the position. Experience with electronic health records (or similar web based data/reporting systems) preferred. Updated CPR and First Aid certification will be required. Strong administrative and organizational skills are essential. Must have the mobility to spend 75% of the work shift standing and/or moving about the work area. Ability to work weekends and holidays. This position requires residency at the Farm (living at Gould Farm in employer-provided low-cost housing). Should suitable housing not be available at the time of hire, an agreement to move to the Farm as soon as suitable housing is available is a contingency of employment.

Compensation: Full-time position. Starts at $20.00 per hour, with a great benefits package including medical/dental insurance (employer pays 85% of premiums and up to 100% of deductible), life insurance, generous Paid Time Off (PTO includes 5 weeks of vacation and holidays the first two years and 6 weeks thereafter), generous sick time accrual, 401K, low cost on campus housing including utilities, generous food benefit including prepared meals 3X a day and access to basic pantry items and Farm made products.
